What do I do when I arrive onsite?

Register at the ACI Registration Desk
ACI staff will provide you with your registration packet and information such as the location of the presenter ready room.  In the presenter ready room, you can confirm that your:

  • Handouts have been received and copies are available for your sessions
  • Audio-visual set up and room logistics are correct.

Meet in Advance with Your Co-presenters

  • Review your session description in the printed conference program book.  If your session is going to deviate from this description, make sure you inform participants at the beginning of your session.
  • Review your agenda and timeline.
  • Discuss session logistics such as introductions, order of speaking, and A/V needs.
  • Note for workshops: be sure that you have allowed enough time for each presenter and 30 minutes of participant discussion and question and answer time.

Early
The presenter, the facilitator or leader (if applicable), and the session assistant will collectively make sure that:

  • Everything needed is in the room: handouts, markers, flipcharts, tape, sign-in sheets, evaluations, etc.
  • The AV equipment is positioned and working; light controls are identified.
  • Verify the amount of time allotted for each presenter and arrange for time cues to be given to both the presenters and workshop facilitator (workshops only).

 

  • As soon as the presenters arrive on site, they should verify that equipment, materials, and tools needed for in-field sessions have been secured.
  • Make arrangements in advance to visit the site prior to the session.
  • A box lunch and water are provided on site for each participant, presenter, and assistant in full day, in-field short courses.
  • Persons attending in-field short courses should be prepared to load buses at 7:45 AM for full day and morning sessions.  Buses will leave promptly at 8:00 AM.
  • For afternoon short courses, participants should be prepared to load buses at 12:45 PM.  Buses will leave promptly at 1 PM on Monday and at 1:30 PM on Thursday.
  • In-field short course attendees are scheduled to arrive back at the hotel at 12 noon and 5 PM; however, they could run 15 - 30 minutes late, depending on traffic conditions and transportation arrangements.

Session Evaluations
The evaluations completed by participants for each session will be available for presenter review during the conference.  You are encouraged to review the session evaluation responses in the conference office.  Online links to tabulated evaluation data will be emailed to you about six weeks after the conference.
